Gropen, Inc., a well-established architectural signage and design-build firm in Charlottesville, VA is looking for a Scheduling Coordinator/Project Close-Out Manager to join our team.
Our clients, both locally and nationally, include architects, engineers, real estate developers, park administrators, hospitals and universities, for whom we provide smart, innovative and effective design, fabrication and installation solutions. Working with our Project Managers, our ideal candidate will be personable, consistent in their work, resourceful, and an all-round team player.
Qualifications:
Excellent communicator and listener.
Comfortable with verbal and written communication.
Aptitude as well as attitude to get the job done, a willing researcher and troubleshooter.
Good morals, work ethic, and honest.
High-level multi-tasker, willing to juggle many projects simultaneously, while maintaining good interpersonal skills and patience.
Proficient with Microsoft Excel, Word, Outlook
Experience with Trello app is a plus, but not required
Responsibilities and
Project Delivery
Develop installation staff schedules with assistance from project managers and installation team manager
Communicate with clients to schedule installation dates, times
Handle last-minute changes in schedule gracefully, and effectively to keep install staff busy
Understand strengths of our install team members and schedule accordingly
Manage and organize post-install data collection (photos, paperwork) daily
Manage compliance with OSHA, state and federal regulations
Inform staff on OSHA and risk management regulatory updates
Coordinate project-specific install requirements (e.g., security clearances, drug testing, etc.)
Post-install follow-up with client and with internal project manager
Collect and quantify client feedback to improve project systems
Handle close-out of small to medium sized projects, ensure jobs are ready for accounting
Research and coordinate training sessions for install team
Ensure Miss Utility has been contacted when necessary, coordinate to ensure locations have been marked
Make travel arrangements for installation staff, manage per diems
Scheduling equipment rentals for installations, as needed
Handle permits for any street, sidewalk closures
