Gropen, Inc., a well-established architectural signage and graphics firm in Charlottesville, VA is looking for a candidate with an interest in Project Management to join our team.
Our clients, both locally and nationally, include architects, landscape architects, real estate developers, park administrators, hospitals and universities, for whom we provide smart, innovative and effective graphic solutions. Qualifications:
Bachelor’s degree or equivalent education.
Ideal candidate will have Project Management experience in Signage or Construction fields.
Fearless problem solver, researcher and troubleshooter. Always willing to accept a challenge and get the job done.
Exceptional multi-tasker, able to juggle multiple projects simultaneously, while maintaining good interpersonal skills and patience. A deadline-driven, high-volume environment must excite you!

Responsibilities and
Project Delivery
Manage multiple accounts and multiple projects with varying deadlines simultaneously.
Develop project timelines to include needs assessment, design concepting & development, fabrication and installation. Keep all parties (internal and external) on track to meet stated deadlines.
Accurate budget creation in collaboration with Sales/Estimating, confirming order accuracy, timeliness. Must track changes throughout project and ensure final billing is accurate—manage scope creep.
Keep records of customer interactions, recording details of inquiries, complaints, as well as actions taken through Trello and QuickBooks.
Collaborate closely with other staff (sales, pre-production/design, production, installation) to ensure hand-off between phases is smooth and completed efficiently.
Be a resource to clients for information on materials, processes, and equipment.
Work with outside vendors and subcontractors as needed to request quotes and coordinate details.
Prep signage permit applications and gather information required from City/County/Public Offices as needed.
Provide consistent communication with client, resolve issues effectively as they arise.
Support and assist with design process by reviewing proofs for accuracy and ensuring client’s requests are met.
Review and implement contract paperwork as needed including AIA pay applications, lien waivers, warranties, insurance certificates, change orders, etc.
Assist in the sourcing and purchasing of project-related supplies, finished goods and services from outside vendors.
Assist in the staging and organization of finished work to ensure all projects leave complete and in good condition. Support for internal QAQC.
Coordinate project installations with client and internal install teams. Provide support to installers while on-site.
Ensure client’s expectations are met at project completion. Facilitate project close-out and billing.
